Terms of service

These terms cover use of MedicalSuite ("the Service"), provided by MedicalSuite ("we", "us"). By using the Service you agree to them.

1. The Service

MedicalSuite is practice-management software for clinics: appointments, patient records, enquiries, messaging, forms and billing. We provide the software; the clinic decides how to use it and what to record in it.

2. Accounts

Clinics are responsible for their user accounts, for keeping credentials confidential, and for the actions taken under those accounts. Tell us promptly if you believe an account has been compromised.

3. Clinic responsibilities

The clinic is responsible for:

  • Having a lawful basis to collect and process the data it records
  • Obtaining any consent its patients require
  • The accuracy of clinical content it records
  • Complying with the healthcare, data-protection and marketing rules that apply where it operates

MedicalSuite provides tools. It does not provide medical, legal or regulatory advice, and it is not a medical device.

4. Connected messaging channels

Where a clinic connects Facebook, Instagram, WhatsApp, SMS or telephony accounts:

  • The clinic must own or be authorised to operate those accounts
  • Use must comply with the relevant platform's own policies, including messaging-window rules and restrictions on unsolicited messages
  • We pass messages between the platform and the clinic's inbox; we do not control platform availability, and platform rules may change without notice

5. Automated assistants

Where a clinic enables an automated assistant, the clinic remains responsible for what is sent under its name. The clinic should ensure staff review clinical, financial and sensitive matters. Human takeover is available at all times and happens automatically when staff reply.

6. Acceptable use

Do not use the Service to send unlawful, abusive or deceptive content; to send bulk unsolicited messages; to attempt unauthorised access; or to interfere with the Service's operation.

7. Availability

We aim for high availability but do not guarantee uninterrupted service. Maintenance, third-party outages and factors outside our control may cause interruption.

8. Data

Our handling of personal data is described in the Privacy policy. Deletion is described in Data deletion instructions. The clinic remains the controller of its data and may export or delete it.

9. Fees

Fees, billing periods and any trial terms are as agreed with the clinic. Non-payment may lead to suspension after notice.

10. Termination

Either party may terminate as agreed in the clinic's plan. On termination we delete or return clinic data within 90 days, except where law requires longer retention.

11. Liability

To the extent permitted by law, we are not liable for indirect or consequential loss, or for loss arising from clinical decisions, from data the clinic recorded, or from third-party platform behaviour. Nothing here excludes liability that cannot lawfully be excluded.

12. Changes

We may update these terms and will revise the date above. Continued use after a change means acceptance.
