Converting an enquiry into a patient
The moment of success: the enquirer says "yes, book me in." Convert turns their enquiry into a real patient record and books their first appointment — one flow, no retyping.
Steps
- Open the enquiry and click Convert (or Schedule).
- Check the patient details. The form is pre-filled with everything from the enquiry — name, phone, email. Fix anything they got wrong; add anything they didn't give. All editable right here.
- Book the first appointment: pick doctor, treatment, and an available slot — exactly like normal booking. If the treatment can be online, choose in-clinic or video. (You can also skip the booking and just create the patient.)
- Membership, if your clinic uses them: the flow checks whether this person should join a membership plan and whether the booked treatment is covered by it — covered sessions won't be charged separately.
- Click Confirm.

What happens on Confirm
- A patient record is created with all the details.
- The appointment is booked; the patient gets their confirmation email (with video link if online).
- The enquiry flips to Scheduled/Closed — off the to-do list.
- Everything is written to the activity log.
The duplicate safety net
Before creating the patient, the system checks whether someone with the same contact details already exists. If yes, it links to the existing record instead of making a twin — so one person never becomes two patients with split history.
Common questions
They want to become a patient but not book yet. Convert without picking a slot — patient created, no appointment. Book later from their record.
I converted but picked the wrong doctor. No drama — open the appointment and reschedule to the right doctor.
Does converting charge the patient anything? No. Money only enters via invoices or a membership signup, and membership coverage is shown to you during the flow.
