My Schedule — controlling when you're bookable (doctors)

My Schedule decides when patients can be booked with you. Nobody can put a patient in a slot you haven't made available — this page is your fence.

Your weekly hours

Set your standard working pattern, per weekday:

1. Open My Schedule.
2. For each day, set your working windows — e.g. Monday 09:00–13:00 and 14:00–17:00. Days off: leave empty.
3. Save.

All times on this page are clinic time — the timezone your clinic is set to, shown at the top of the page. What patients see can differ: by default they read slot times on their own clock. See Clinic timezone.

Booking slots are generated from these windows, cut into slot lengths by treatment duration. Change your pattern anytime — future availability updates immediately (already-booked appointments stay put).

Extra Hours — one-off additions

Agreeing to a special Saturday clinic or a longer Tuesday? Add Extra Hours for that one date — your weekly pattern stays untouched. Full guide: Extra Hours.

Blocking time off — holidays, meetings, life

Your weekly hours say when you generally work. For exceptions — a week's holiday, a Thursday conference — use your connected Google Calendar (how to connect):

Any busy event in your Google Calendar automatically blocks those MedicalSuite slots.

Put "Holiday — Crete 🏖" in your Google Calendar and those days simply stop being bookable. No forms, no asking anyone.

Days off — a single day or a whole stretch

Under Day-offs, add dates you're away. Fill in From, and leave To empty for a single day — or set To for a holiday that runs over several days. Both dates are included, so 20th to 27th covers the 27th as well.

A day-off removes every slot on those dates. Your weekly hours stay exactly as they are, so you don't have to rebuild them when you're back.

Booking window — how far ahead patients can book

Under Booking window you control three things for your own diary:

• Days ahead — how far into the future patients may book. Counting today, so 21 means today plus the next 20 days.
• Notice (hours) — how much warning you need. Set 24 and nobody can grab a slot less than a day away. Times that have already passed today are always hidden, even with no notice set.
• Bookings open from — an optional date before which nobody can book at all. Useful when a new clinic or a new season starts on a known day.

Leave any box empty to use the clinic-wide setting — the greyed-out number shows you what that is. Fill one in and yours wins for that setting only, so you can ask for more notice while keeping the clinic's window.

If you set both a notice period and an opens-from date, whichever falls later applies.

caution

A short Days ahead combined with a far-off Bookings open from can leave no bookable days at all — e.g. a 7-day window that opens in three weeks. Patients then can't self-book with you; enquiries still arrive for your team to schedule by hand.

The full picture

When a patient is offered slots with you, the system combines:

1. your weekly hours (this page) —
2. plus any Extra Hours —
3. minus existing bookings —
4. minus Google Calendar busy events —
5. minus your day-offs —
6. trimmed to your booking window (days ahead, notice, opens-from).

What's left is what's offered. Keep those four honest and your calendar can be trusted blind.

Common questions

I blocked time in Google but the slot still shows. Check the event is marked Busy (not Free) and it's on the calendar you connected.

Can front desk override my schedule? Admins can edit doctors' schedules under the clinic's Schedule page — normally in agreement with you.
