Google Calendar & Meet
What it does, in one sentence: each doctor connects their own Google account, and from then on their Google Calendar busy times block bookings, and their online appointments get Google Meet links — automatically.
Why clinics connect it
Without it, MedicalSuite only knows the doctor's stated weekly hours — not the dentist appointment on Thursday or the week in Crete. With it, real life flows in:
- Busy = unbookable. Any busy event in the doctor's Google Calendar removes those slots from booking — staff bookings and website widget bookings alike.
- Meet links for free. Online appointments create Google Meet links under the doctor's account; patients get them automatically in confirmations and reminders.
Connecting (per doctor)
Each doctor connects their own account — there is no single clinic-wide Google login:
- The doctor opens Integrations in their portal (or an admin starts from the doctor's settings).
- Click Connect Google Calendar.
- Sign in to Google and approve access.
Effective immediately.
Day-to-day: nothing
That's the point. Doctors manage their life in Google Calendar as they always did; availability in MedicalSuite stays true by itself.
Troubleshooting
| Symptom | Likely cause & fix |
|---|---|
| Blocked time still bookable | Event is marked Free, not Busy — edit the event. Or it's on a different calendar than the one connected. |
| Meet links stopped being created | Google connection expired — disconnect and reconnect on the Integrations page. |
| Doctor changed Google account | Disconnect old, connect new. |
Common questions
Does patient information get written into Google Calendar? The integration is used to read free/busy and to create meeting links. Doctors' personal events are never shown to staff — MedicalSuite only uses busy/free, not event contents.
A doctor refuses to connect their personal calendar. Fine — their availability then comes purely from their weekly schedule and Extra Hours; they'll need to ask an admin to adjust hours for holidays.
