Membership plans

What it is: subscriptions for your clinic. Instead of paying per visit, a patient joins a plan — say, "Wellness Monthly: 2 physio sessions a month for $99" — and the plan renews automatically. Steady income for you, simpler decisions for the patient.

Creating a plan (admins)

  1. Open Membership PlansNew Plan.
  2. Set the essentials:
    • Name — patient-facing, keep it friendly ("Gold Care Plan").
    • Price and billing period (e.g. monthly).
    • Benefits / coverage — what's included: which treatments, how many sessions per period.
    • A color, so plans are recognisable at a glance across the app.
  3. Save. The plan is now offered wherever memberships appear.

Signing a patient up

Two places:

  • During enquiry conversion — the convert flow offers the right plan at the right moment (best time to sell a plan: when they're joining).
  • From the patient's record — for existing patients, any time.

If Stripe is connected, the patient pays by card and the plan renews automatically each period, card charged, no chasing. Without Stripe, you record payments manually.

The best part — coverage-aware booking

Once a patient has an active plan, the system does the thinking:

  • Book them a treatment that's covered → the session counts against their plan allowance. No invoice, no double-charging, nothing to remember.
  • Book something not covered → normal billing applies.

Front desk doesn't need to memorise who's on which plan — it's applied automatically at booking and conversion.

Common questions

What happens when the sessions run out for the period? Further bookings that period aren't covered — they're billable as normal. The allowance refreshes with the next renewal.

A member wants to cancel their plan. Handled from their membership on the patient record; with Stripe the recurring charge stops.

Can we change a plan's price? Edit the plan for new signups. Handle existing members with care and communication.

Membership Plans not in the menu? The billing module is enabled per clinic — ask your administrator.
