Managing users (admins)
Everyone who logs in — receptionists, doctors, managers — is a user you create and control under Administration → Users.
Adding a person
- Open Users → New User.
- Enter their name and email (double-check it — the invitation goes there).
- Pick their role: admin, staff, or doctor — this decides what they can see and do (roles explained).
- For doctors, complete their working identity: the treatments they perform and their weekly schedule — without these they can't be booked.
- Save. They receive an invitation email to set their password; remember to tell them the clinic's Company ID, which they need to log in.
Editing a user
Open any user to change their role, details, photo, or their caller-ID line (which clinic number their outgoing dialer calls show).
When someone leaves — deactivate, don't delete
Deactivate their account: access stops the same minute, but everything they did — bookings made, notes written, calls logged — stays in the history where it belongs.
Fine-tuning permissions — Roles
Administration → Roles lets you adjust what each role may do, or craft new ones ("Senior receptionist" who can also edit treatments). Most clinics never need to touch this; it's there when you do.
Common questions
New staff member never got the invitation. Check the email address for typos, then check their spam folder, then resend the invite.
Someone forgot their password. They use Forgot password on the login page — or you reset it from their user record.
Can two people share one login? Please don't — the Activity Log records who did what, and shared logins turn that into guesswork. Users are per-person.
